Trello vs. OpenProject

Trello is a Kanban-style project management software known for its simplicity. It was developed by Fog Creek Software in 2011, and in 2017, sold to Atlassian. Trello makes project planning, execution, and team collaboration simple. You can organize, set priorities, assign tasks, and monitor activities with ease and flexibility. Choose from a limited free plan or paid plans with added capabilities.

OpenProject is an open-source web-based productivity and collaboration platform developed by The OpenProject Foundation. Released under the GNU General Public License Version 3 (GPLv3), its community edition is free to use, or you can upgrade to the paid enterprise edition for extra features. It’s a powerful tool that offers easy-to-use project management features.

Dashboard

Trello’s dashboard delivers a simple, intuitive UI/UX with drag-and-drop functionality. Create boards, add cards, and assign tasks to team members with ease. You can also customize pre-formatted boards and templates to fit your needs.

The OpenProject dashboard provides an overview of your project, including description, status, details, and team members. Although a bit complex, it presents more functionalities such as customizing modules, creating projects, building roadmaps or tracking time and costs.

Team collaboration

It’s easy to collaborate with your team in Trello since you can access the dashboard anywhere, anytime, and on any device. With the use of cards, you can add task details such as dates, checklists, or images. You can also comment and give suggestions to make team collaboration more engaging and organized to the task. Whether it’s a business or personal project, Trello ensures that your team is organized.

OpenProject enables you to manage tasks and collaborate with your team with its ad hoc functionality. You can plan your budget and easily track time and costs to see how your team performs. It also allows you to have an in-depth analysis of reports and share insights with your team.

Managing projects with ease

Trello’s minimalist design and Zen-like simplicity make it easy to organize and manage projects, assign tasks, and track issues and team activities. It automates workflow with the assistance of its robot, Butler, that simplifies the tasks with rule-based triggers, board buttons, and custom cards. Team members can access the dashboards anywhere they are — whether in the office or working remotely from home. So, there’s flexibility.

OpenProject helps you with project management tools that support the entire project life cycle: conception and initiation, definition and planning, launch or execution, performance and control, and closing. Its Agile and Scrum design allows you to create stories, prioritize sprints, and track tasks integrated with other modules. It features more tools at your disposal such as Gantt charts, road mapping, and customizable columns and filters.

Accessibility and integrations

With Trello, you can easily integrate with other apps and third-party platforms such as Slack, Dropbox, Adobe XD, Salesforce, and more. You can also run it on your operating system of choice — Windows, Mac, Linux, Android, or iOS.

OpenProject’s enterprise edition provides enterprise-grade data security. It’s convenient to collaborate with your team as modules are accessible on any mobile device. But its free version requires technical knowledge of open-source OS (Linux) such as Ubuntu, Debian, or CentOS to install. Installing the server on Windows is not possible. If you’re using Windows, you can use the enterprise edition.

Which is the best: Trello or OpenProject?

Both platforms offer similar basic features such as agile boards, issue tracking, task management, updates, mobile-friendly, and single-page application.

Trello’s simple user interface makes it a popular productivity and collaboration software option. Its minimalism is its main advantage over OpenProject, which is a bit complicated. OpenProject’s open-source edition is quite a challenge for non-technical people to install.

With OpenProject, communication is easy as you can organize meetings and manage forums. It lets you use product roadmaps for release management, Gantt charts, meeting management, time and cost tracking, self-hosting, and other features not available in Trello.
