QuickBooks Bill Pay and BILL (formerly Bill.com) both handle the same job: get vendor invoices into a system, route them for sign-off, and send the money by ACH or check. The difference is where they live. QuickBooks Bill Pay runs inside QuickBooks Online (QBO), so every payment lands in your ledger the moment you schedule it. BILL is a standalone accounts payable (AP) and accounts receivable (AR) platform that syncs with QuickBooks, Xero, and larger ERP systems.

In my scoring, QuickBooks Bill Pay comes out ahead overall at 4.19 out of 5 to BILL's 4.04, mainly because it costs much less for QBO users. BILL wins on payment methods, approvals on every plan, and its mobile app, and it's the only one of the two that works if your books aren't in QBO.

My methodology

I evaluated QuickBooks Bill Pay and BILL using eight criteria that matter most to small businesses managing vendor payments. Each category was scored on a 5-point scale and weighted based on its importance to everyday accounts payable operations.

  • Pricing and fees (25%): Monthly subscription costs, per-user charges, transaction fees, and accounting software requirements.
  • Payables and payment methods (20%): Bill capture, payment options, processing speed, batch payments, and international payment capabilities.
  • Approvals and controls (15%): Approval workflows, user permissions, payment authorization, and internal controls.
  • Accounting integration (15%): Compatibility with accounting software, transaction synchronization, and bank reconciliation.
  • Ease of use and setup (10%): Initial setup, navigation, vendor onboarding, and everyday payment workflows.
  • Mobile app (5%): Ability to review, approve, and pay bills using a mobile device.
  • 1099 filing (5%): Contractor payment tracking, tax form preparation, and e-filing costs.
  • Customer support (5%): Availability of support channels, onboarding assistance, and plan-specific support options.

I compared QuickBooks Bill Pay's Basic, Premium, and Elite plans with BILL's Essentials, Team, and Corporate plans using published pricing. BILL Enterprise was excluded from the scoring because it requires custom pricing.

Why you can trust TechnologyAdvice

I have over a decade of experience in finance and hands-on bookkeeping, including managing accounts payable for a US-based manufacturing business. As a QuickBooks Online ProAdvisor and Xero Advisor, I've handled vendor payments, bank reconciliations, and financial reporting for US clients using different accounting systems.

I've experienced firsthand how bill payment software can affect daily bookkeeping. While using Melio, we encountered synchronization issues with QuickBooks Online that required support intervention to resolve. We later switched to QuickBooks Bill Pay, which worked well with our QuickBooks Online Advanced setup, particularly its approval workflows. This experience has shaped how I evaluate AP solutions, looking beyond pricing and features to consider integration reliability, payment controls, and how well each platform fits a business's accounting needs.

Use cases and pros & cons

Best for: QBO users who want low-cost, built-in AP

QuickBooks Bill Pay is Intuit's accounts payable feature inside QBO. You forward or upload invoices, QuickBooks creates pre-filled bills, and you pay vendors by ACH or a check Intuit mails. Because it lives in your ledger, there's no sync to set up or monitor.

Pros

Cons

  • $0 standard ACH on every plan
  • Flat monthly fee no matter how many QBO users touch bills
  • AI bill creation and a bills inbox on the $0 Basic plan
  • Unlimited 1099 e-filing from $15 per month
  • Elite included with QBO Advanced
  • Requires a QBO subscription
  • Approval workflows and roles only on Elite
  • No international payments or vendor card payments listed
  • Standard ACH takes 3 to 5 business days
  • Rolling 30-day processing limit on each account

Use case: A four-person HVAC company that already runs on QBO Plus and pays 40 suppliers a month by ACH. Bill Pay Basic covers the payments at no added cost, and the owner can move to Elite later if a second person starts entering bills.

Pricing and fees: QuickBooks Bill Pay wins

QuickBooks Bill Pay wins on price for anyone already paying for QBO. Its plans are flat monthly fees, standard ACH costs nothing, and checks cost $1.50. BILL charges per user and adds $0.59 for each ACH payment and $1.99 for each mailed check.

Here's how that plays out in two common setups, using list prices:

For a QBO user, the gap is wide. In Scenario A, BILL costs about $100 more per month for the same approval step, and the difference grows with each added approver and each payment. Intuit's per-company pricing also means a five-person QBO Plus team pays one Bill Pay fee. BILL's math only works in its favor when your books aren't in QBO, as Scenario B shows.

Payables and payment methods: BILL wins

BILL wins because it covers far more ways to pay. QuickBooks Bill Pay sends ACH transfers and mailed checks, with Faster ACH and Instant options for a fee. BILL adds free virtual cards, card funding at 2.9%, international FX wires at no BILL fee, USD wires at $19.99, and several expedited check options.

Payment flexibility matters most when vendors have different preferences or sit outside the US. BILL's same-day ACH cutoff is also more forgiving for urgent bills. QuickBooks Bill Pay's edge is AI bill creation on its free tier, which BILL reserves for Team and above.

Accounting integration: QuickBooks Bill Pay wins

QuickBooks Bill Pay wins for QBO users because it has no sync at all. Bills and payments already sit in the ledger, and QuickBooks auto-matches Bill Pay payments to your bank feed. BILL syncs both ways with QBO, QuickBooks Pro and Premier, and Xero on Team and above, and adds QuickBooks Enterprise, NetSuite, Sage Intacct, Microsoft Dynamics, Acumatica, and Rillet on Enterprise.

Every sync is one more place where books and bank can drift apart. Native payments remove that step for the large group of small businesses on QBO. BILL is the better pick only when you use another ledger or plan to move to an ERP.

Ease of use and setup: QuickBooks Bill Pay wins

QuickBooks Bill Pay wins because you activate it inside QBO and keep working in the same vendor list and chart of accounts. Intuit says the application takes under 10 minutes. BILL means a new account, a new dashboard, and an accounting connection to configure before your first payment.

A QBO user can schedule a first payment the same day without training anyone on new software.

Mobile app: BILL wins

BILL wins on mobile. Its iOS and Android app lets you review, approve, and pay bills one at a time or in batches, view due dates and documents, and get notified when a bill needs attention. Intuit's QuickBooks mobile app page lists receipt capture, mileage tracking, and taking invoice payments, but not paying or approving bills.

Owners who approve payments between job sites or while traveling can do it all from the BILL app.

1099 filing: QuickBooks Bill Pay wins

QuickBooks Bill Pay wins because Premium and Elite include unlimited 1099 e-filing, plus printing and mailing, at no added fee. BILL charges $2.99 per form e-filed to the IRS, $1.49 per direct state filing, and $1.99 per form mailed to vendors.

A business with 20 contractors pays about $60 in IRS e-filing fees alone on BILL, compared with $15 for a month of Bill Pay Premium.

Customer support: BILL wins

BILL edges ahead because it lists live chat and phone support on every plan. Intuit includes phone support with paid QBO plans, and Bill Pay customers can book onboarding with a specialist that includes 90 days of dedicated account management.

BILL's chat and phone access don't depend on which accounting plan you hold.

My expert evaluation of QuickBooks Bill Pay vs BILL

QuickBooks Bill Pay scores 4.19 out of 5 and BILL scores 4.04. Each tool wins four of the eight categories, and QuickBooks Bill Pay comes out ahead because it wins the most heavily weighted one, pricing, along with accounting integration, ease of use, and 1099 filing. BILL wins payment methods, approvals, mobile, and support.

The accounting system you use decides most of this. If your books are in QBO, QuickBooks Bill Pay costs less and removes a sync. If they're in Xero or an ERP, or you pay vendors abroad or by card, BILL is the better fit.

  • Choose QuickBooks Bill Pay if you use QBO, pay mostly by ACH or check, and want the lowest cost.
  • Choose BILL if you use another accounting system, need virtual cards or international payments, or want approvals without moving to a higher Intuit plan.

When should you switch from QuickBooks Bill Pay to BILL?

  • You move off QBO: BILL keeps your AP process in place through a ledger change.
  • You start paying international suppliers: QuickBooks Bill Pay doesn't send international payments.
  • Vendors want card payments: BILL offers free virtual cards and card funding at 2.9%.
  • Approvers work from their phones: BILL's app handles approvals and payments.

Before switching, pay or cancel open Bill Pay payments so no bill gets paid in both systems.

Frequently asked questions (FAQs)

Can I use BILL with QuickBooks Online?

Yes. BILL Team and Corporate include automatic two-way sync with QBO. Essentials connects through manual CSV import and export.

Does QuickBooks Bill Pay charge for ACH payments?

Intuit's Bill Pay page and help center list standard ACH as free on all Bill Pay plans. Faster ACH costs $10, checks cost $1.50, and Instant Payment costs 1% with a $100 maximum fee.

Which is cheaper, QuickBooks Bill Pay or BILL?

For QBO users, QuickBooks Bill Pay is cheaper in almost every case because it has no per-user or per-ACH fees. BILL can cost less for a single user on another accounting system, since QuickBooks Bill Pay requires a QBO subscription.

Can QuickBooks Bill Pay pay international vendors?

No. QuickBooks Bill Pay doesn't send international payments. BILL supports FX wires at no BILL fee (exchange rate applies) and USD wires for $19.99.
