VIDEO: Smartsheet Project Management Overview

Welcome, today we’ll be looking at Smartsheet Cloud-based project and task management that looks to fit the way you work. This video is brought to you by TechnologyAdvice. This video review is for Smartsheet, a web based project management application that offers an intuitive spreadsheet-like platform that can be used to track and manage diverse types of work data including projects, task lists, business processes and more.

The Challenge for smartsheet is to get users out of project management software and into customizable spreadsheets with the draw of customization and familiarity. First up is the Home screen. The left column has various shortcuts to popular locations within the application such as favorites, sheets, workspaces, and more. Currently we’re in the Smartsheet Dashboard. A quick glance provides favorite rows which can make accessing certain parts of a spreadsheet easy, as well as recent sheets for easy access.

It’s also nice to have a quick glimpse of the calendar so users can plan their next few days or weeks. The smartsheet home page also allows user to create new spreadsheets or import existing data. Users have a variety of spreadsheets to choose from that all have helpful templates for making data entry easy. Everything from Blank sheet and report to sales pipeline or gantt chart are potential templates. Creating a sheet is straightforward and can be done in a variety of ways.

Once you are in a sheet, you can create as many columns as you like. Each column can be a text field, contact list, dropdown list, checkbox, or symbol. First up let’s take a look at the Gantt functionality of smartsheet. Here users can plan projects short and long term. The template displays task name, duration, start, and finish as well as predecessors. Smartsheet is pretty limitless in the possibilities of sheets it can create through customization.

Everything from budgeting to projects can easily be tracked and recorded. The next sample sheet is for projects. Here is some basic information such as task name, date, and assignee. Comments can also be added to specific tasks. As you can see at the bottom, it’s possible to share this sheet with others, add alerts, attachments, discussions, and more. Users can also add colors and delete columns to make the interface as simple as possible. You can interact within the web applications as well.

A right click give users access to a variety of prompts and potential actions. Another possible sheet is a sales pipeline. Here we have a sample sales funnel set up so you can see how easy it is to insert and customize rows, columns, and more to best fit your needs. A few more examples of possible sheets we thought were helpful were the team task list by priority, and potential formulas you can use within the application. Lastly, we’ll take a quick peek at the report builder.

Here users can quickly and easily find out information from all of their sheets such as which goals is Jenna working on. All you have to do is select the sheets you want to search through, and set the parameters from there. The report can then be shared or printed. Made for small to medium sized companies, Smartsheet is available at a medium price point. A limitation for Smartsheet is sharing can be difficult if users have multiple sheets. It also doesn’t integrate well with email and can at times be difficult to get updates on what has been changed.
